Passwords
You should always take care to protect your password! If you feel that someone has discovered your password, please change it as soon as possible. Please do not write down your password and store it next to your computer or anywhere else that someone could easily find it. Anyone with your password could access your files, email, gradebook and other information!
CCS Staff have one main password, for logging into OneLogin. Depending on your role, you may have other program-specific passwords to log into other applications.

Follow these guidelines when choosing a password:
- Your password should be at least 5 characters long The longer the password the harder it is for someone to guess. Don’t make it so long that typing it in becomes a chore. A good rule of thumb is 5 to 8 characters long. NOTE: Mac users should use passwords no longer than 8 characters.
- Your password should be a mix of alphabetic, numeric, and special (!@#$%&*?) characters. This also makes it harder to guess. A good rule of thumb is to have at least two non-alphabetic characters in your password.
- Your password should not be a word found in an English dictionary. There are programs that are readily available that will try every word in the dictionary against your login and can do so in a matter of a few minutes. If you use a word make sure that you mix numbers or special characters with it.
- Your password can have both upper and lowercase letters, but most programs are case sensitive when it comes to passwords, so remember your password exactly as you entered it.
- Your password cannot contain spaces.
- Your password should not be something easily associated with you. You should not use things like: your first or last name, your birthday, your nickname, your child’s name, your school’s name, etc.

Follow the steps below to change your network password — the password you use to log on to a computer.
Windows XP systems (Novell Client)
- Simultaneously press the Ctrl-Alt-Del keys
- Click the Change Password button.
- Type your old (initial) password and press Tab.
- Type your new password and press Tab.
- Type your new password again and click OK.
- You should receive a message that states your password was successfully changed, click OK and you are finished.
Mac OS X systems (MacAdministrator Client)
Mac passwords should be between 5 and 8 characters long.
- Log in using your current password
- Once the OS X desktop loads, click on the Key icon in the upper right section of the OS X menu bar, and select “Change Password”
- Complete the dialog with your current & new passwords as prompted
- Click OK
Email Filtering Information
- Charlottesville City Schools employs a filter to reduce the amount of spam (unsolicited junk email) and virus-infected email that you receive in your inbox. This filter works by scanning all incoming mail for viruses, spam, and potentially malicious attachments (i.e. those usually associated with viruses). It will then analyze the results of the scan and quarantine any mail that is suspect.
- The intent of the filter is to increase the likelihood that the mail in your mailbox is legitimate mail. It will not completely eliminate unwanted email or viruses. You must still use good judgment and common sense when opening email messages, especially those with attachments. Junk mail may still be delivered to your mailbox as no filter is 100% effective at catching all spam. Filters are always playing catch-up and reacting to the new and creative strategies that spammers employ. Also, newsletters and other email that you have opted to receive, even though you may consider them junk, may not be blocked by the filter. Virus infected messages may also be delivered to your mailbox before they have been identified as viruses by the anti-virus vendors we use.
- Due to the technology used to scan mail, filters will occasionally mistakenly identify legitimate mail messages as spam. You will need to check your quarantine periodically to ensure that there are no legitimate messages (false-positives) stored there.
- Do not rely on a filter, to block all undesirable messages. Immediately delete messages that are suspicious. Do not open attachments that you are not expecting.
- Please add any external contacts for email communication to your Gmail contacts within your CCS account. This will help ensure that your messages from external entities are received. This may include parents, vendors, colleagues from different school divisions, and others.
Software Requests
Before requesting software upgrades or additions, schools should confirm compatibility with Chrome OS and seek Curriculum Coordinator approval. All requests must go through the formal software request process, including testing and endorsement.

Before funding an upgrade, schools will benefit by confirming the product is compatible with Chrome OS, and by having a Curriculum Coordinator review the product to confirm that the product is approved educational software.

The staff or school requester will be required to use the formal software request process. The process requires that the content area coordinator test and endorse the educational software, and submit the request for inclusion in software prioritization.

The annual request to include new software, in addition to the baseline student or staff image, need to be submitted by May 1st to your Curriculum Coordinator. This applies to all software that will be needed the following school year.
Software requests during the school year for new or upgraded software will need to be submitted by November 1st.

- The software request form will need to be filled in by the person requesting the software and then submitted to the appropriate Curriculum Coordinator.
- The Curriculum Coordinator will review the instructional value of the software and submit the request to the Technology Department.
- The Technology Department will test the software for compatibility testing on the school image.
- The Technology Department will route the request to Instructional Assoc Sup, Career & Technical Education Assistant Superintendent or Exceptional Education Director for final approval.
The Technology Department will then prepare the software for installation.
